Privacy Policy

Last updated: September 30, 2026

This policy explains what GreetDesk ("we", "us") collects, why, and what choices you have. It covers both our website and the call-answering service.

1. Information we collect

  • Account information. When you sign in with Google, we receive your name, email address and profile image. We do not receive your Google password.
  • Billing information. Payments are processed by Stripe. We store a Stripe customer identifier and subscription status; we never see or store your full card number.
  • Call data. For calls handled by your AI receptionist we store a text transcript, a structured summary (caller name, number, reason, preferred time), the call duration and the associated phone number.
  • Demo data. We store an IP/account identifier and call timing to enforce the demo's 24-hour usage limits. We do not keep a transcript of the demo call. We do store the short summary the receptionist produced — the caller name, number, reason for the call and preferred time — so we can show it to you on the demo page and measure how the demo performs. Retell processes the call under its own service and retention settings.
  • Usage data. Basic technical logs needed to run and secure the service.

2. Call recordings

We do not store call audio by default. We keep the transcript and summary so you can follow up with the caller. If you choose to enable recording, you are responsible for complying with the call-recording laws that apply to you, including two-party consent states, and we will play a notification at the start of the call.

3. How we use information

  • To answer calls, book appointments and send you summaries.
  • To operate your account, billing and subscriptions.
  • To prevent abuse and enforce usage limits.
  • To provide support when you contact us.

We do not use your calls, transcripts or summaries to train AI models. We do not sell your personal information.

4. Service providers

We share the minimum necessary data with the providers that make the service work: a real-time voice platform (to conduct the call), Stripe (payments), our cloud host, and our email provider (summaries and notifications). Each is bound by its own privacy terms.

5. Data retention

  • Call transcripts and summaries: retained for 12 months by default, then deleted, unless you ask us to delete them sooner.
  • Demo rate-limit records older than 24 hours are pruned the next time the demo is requested. They contain no transcript or summary.
  • Demo call summaries (the short result shown on the demo page) are kept for 12 months. Summaries past that age are deleted the next time someone starts a demo. Demo transcripts are never stored.
  • Account data: retained while your account is active, and deleted within 30 days of account deletion, except records we must keep for tax and legal reasons.

6. Your choices

  • You can delete a call transcript and summary from your dashboard at any time.
  • You can request deletion of your account and associated data.
  • You can request a copy of the data we hold about you.

Depending on where you live, you may have additional rights (for example, under the CCPA in California). To exercise any of them, email hello@greetdesk.ai.

7. Security

Access to your data is scoped to your account. Every API checks that the caller owns the resource before returning it, so one customer can never read another's calls. We use encryption in transit and hash credentials where applicable.

8. Children

GreetDesk is a business tool and is not intended for anyone under 18.

9. Changes

If we make material changes to this policy we will notify account holders by email.
